Mulch is one of the most visible line items in an HOA budget and one of the most often done badly. Beds get piled so deep the shrubs suffocate, mulch gets packed against palm trunks, and some beds get skipped while others get a double layer. The board sees an invoice. Residents see beds that look different from one side of the community to the other.

Green Image handles commercial mulch installation for HOAs, condo associations and commercial properties across Palm Beach, Broward and Miami-Dade. Every bed is measured, mulched to a consistent depth, and documented with photos.

Annual Mulch Refresh, Done Right

  • Depth: University of Florida guidance calls for about 2 to 3 inches of organic mulch in plant beds. We top up to that depth instead of piling on more each year.
  • Off the trunks: mulch is pulled back from the base of plants and trees. Mulch packed against a trunk holds moisture and invites rot and pests.
  • Bed edges: beds are edged and cleaned before mulch goes down, so the line stays crisp.
  • Weeds first: weeds come out before mulching. Mulch slows new weeds; it does not kill the ones already there.
  • Consistent color: one product across the property so every bed matches.

Mulch Types Common in South Florida

The right mulch depends on the look you want and how often you want to replace it.

  • Pine bark: a common choice for commercial beds, available in nuggets or shredded.
  • Eucalyptus: a shredded mulch sourced from managed plantations.
  • Melaleuca: made from an invasive tree removed from Florida’s natural areas, so using it puts that wood to use.
  • Pine straw: light and quick to spread, a fit for large natural areas.
  • Cypress: still sold widely, but the University of Florida’s Florida Friendly Landscaping program does not recommend it because it may not be harvested sustainably. We will discuss alternatives if your property uses it today.

Mulch Replacement for HOAs: How We Scope It

  1. We walk the property and list every bed by area, with photos of current depth and condition.
  2. The proposal names the mulch type, color, target depth and the beds included.
  3. Named exclusions cover anything left out, such as natural areas or beds slated for redesign.
  4. The crew works area by area, and the manager gets photos of finished beds.

After each visit, our Every Visit Proof report shows what was done and what needs attention next, so the manager can show the board exactly which beds were mulched.

Mulch often pairs with other bed work. Many boards combine it with hedge trimming, seasonal color or a larger landscape enhancement. Routine bed care between refreshes is part of our grounds maintenance program.

Timing the Refresh

Many associations schedule the annual refresh after the rainy season, once summer growth is cut back and beds are cleaned up, so the property looks its best through the winter months. Others time it before an annual meeting or a major community event. Either way, we put the date in the proposal and work around amenity hours and resident parking.

Frequently Asked Questions

How often should an HOA replace mulch?

Most properties need a full refresh about once a year, with spot top ups in high traffic or heavy rain areas. Organic mulch breaks down and washes out, so depth should be checked rather than assumed.

Mulch that builds up too deep keeps water and air from the roots and can rot trunks and stems. We top up to the target depth and pull mulch back from trunks.

Larger pine bark nuggets tend to break down more slowly than shredded mulches, but they can float in heavy rain. We recommend a mulch based on your beds, slopes and drainage.

Usually yes. Tell us the product or show us a bed, and we match it so the refresh looks the same across the property.
